Medical clinic: intake, invoicing and scheduling automated, 90% less admin

−90%
Admin time per patient, with zero manual data entry

A medical clinic handled intake, invoicing, payment tracking and scheduling by hand, with staff switching between four tools per patient. We built an end-to-end n8n automation from intake form to PDF invoice, payment detection in Gmail, calendar booking with a Meet link and live sync to Notion and Sheets. Admin fell by 90%.

n8n workflow for clinic automation: patient intake, invoice, payment detection, approval, appointment and final record

The brief

Every new patient meant the same chain of manual steps: copy the intake form, create an invoice, watch the inbox for payment, book the appointment, update two spreadsheets. Errors crept in and staff time went on admin instead of patients.

How the workflow runs

  1. A webhook receives the intake form and creates the patient record.
  2. n8n generates a PDF invoice and emails it from Gmail.
  3. Gmail is monitored for the payment confirmation; when it arrives the record is updated.
  4. A Google Calendar appointment with a Meet link is created and sent to the patient.
  5. Notion and Google Sheets are synced in real time, with error handling and human approval steps where needed.

Outcome

A 90% reduction in admin and zero manual data entry. Staff now handle exceptions, not routine.

Why it worked

  • Payment detection in the inbox removed the slowest manual step.
  • Every branch has error handling, so a failed step alerts a person instead of silently stopping.
  • Notion stays the system of record, so the team kept the tool they already knew.
