AI Google review management: replies drafted, approved and published automatically
An n8n automation that fetches new Google Business reviews, stores them in Airtable and uses an AI agent to draft personalised, on-brand replies. Each draft goes to a manager to approve, edit, publish or dismiss, and the system tracks status and sends notifications. Faster, more consistent responses with a human in the loop.

The brief
Reviews were going unanswered for days, and when replies did go out the tone varied by who wrote them. The business wanted speed and consistency without letting an AI post unsupervised.
How the workflow runs
- A scheduled trigger fetches new reviews from the Google Business Profile.
- New reviews are stored in Airtable with their status.
- An AI agent reads the review and drafts a reply that follows the brand’s guidelines.
- The manager receives the draft and chooses: publish, edit then publish, or do not reply.
- The reply is posted to Google and the Airtable record updated; notifications keep everyone informed.
Outcome
Response time dropped from days to hours, every reply sounds like the brand, and managers spend seconds per review instead of minutes.
